Questions to Ask Before Hiring a Home Care Agency

When an older adult needs more help at home, families often begin by asking about cost and availability.

Those questions matter, but they are only part of the decision.

You are inviting someone into a person’s home, daily routine and personal life. A good home care agency should be able to explain how it operates, how caregivers are selected, what happens when plans change and who will be available when you need help.

Use these questions to guide your conversations with home care agencies.

About the Company

Start by learning how the agency operates and who will be responsible for providing and overseeing care.

  • How long have you provided care in this area?

  • Are you licensed, insured and bonded where required?

  • Are caregivers employees of the agency?

  • How are caregivers screened?

  • What training do caregivers receive?

  • Is someone available after hours and on weekends?

Ask what it means when the agency says its caregivers are screened. Screening may include interviews, references, background checks, driving-record reviews and verification of experience.

You should also understand who supervises the caregivers and who you can contact if a concern arises.

About the Care

Home care should be based on the individual, not simply on an available time slot.

Ask:

  • Will someone meet with us before care begins?

  • How do you determine what kind of help is needed?

  • Can the care plan change as needs change?

  • What personal care and household tasks can caregivers provide?

  • Do you have experience with the person’s specific condition?

  • How do you match caregivers with clients?

  • What happens when the regular caregiver is unavailable?

  • How will the family receive updates?

A thoughtful assessment gives the agency an opportunity to learn about the person’s routines, preferences, personality, mobility, health concerns and home environment.

It also helps the family understand what the agency can and cannot provide.

Matching matters, too. The person receiving care may spend many hours with the caregiver. Skills are important, but personality, communication style and comfort also play a role in creating a successful relationship.

About Scheduling and Cost

Home care agencies structure their schedules and pricing differently. Ask for the details before care begins so there are fewer surprises later.

  • Is there a minimum number of hours per visit?

  • Is there a minimum number of visits each week?

  • What are the hourly rates?

  • Are evenings, weekends or holidays priced differently?

  • What is the cancellation policy?

  • Is there a contract or long-term commitment?

  • Do you help families use long-term care insurance?

Be sure you understand what is included in the hourly rate and whether there are additional charges for transportation, mileage, shorter shifts or schedule changes.

Families using long-term care insurance should also ask whether the agency can provide the documentation needed for a claim.

Pay Attention to More Than the Answers

The way an agency communicates during the first conversation may tell you just as much as the information it provides.

After speaking with the agency, ask yourself:

  • Did they listen carefully?

  • Did they explain things in a way you understood?

  • Did they ask about the person, not only the schedule?

  • Did you feel rushed or pressured?

  • Do you know who to call when something changes?

  • Did they clearly explain what they can and cannot do?

An agency may not be able to promise a perfect schedule or an immediate caregiver match. What it should provide is honest information, realistic expectations and a clear process for addressing changes or concerns.
